How to Choose Restaurant Billing Software in Kerala: 10 Things to Check Before You Pay

A checklist for choosing restaurant billing software in Kerala: QR and waiter ordering, KOT, kitchen display, reports, hardware, pricing and support.

Choosing restaurant billing software in Kerala is less about features on a brochure and more about one question: will it keep up on your busiest night? A system that looks good in a demo can fall apart when 15 tables order at once, the printer jams and the cashier is new.

This checklist is written for owners of restaurants, cafes, bakeries, juice shops and hotel restaurants in Kerala. Use it when you compare vendors, including us.

1. Does it handle the order, or only the bill?

Old-style billing software starts at the counter. The waiter writes the order on paper, shouts it to the kitchen, and later the cashier types it again to make the bill. Every handover is a chance for a mistake.

Modern restaurant software starts at the table. The order is captured once, by the guest through a QR code or by the waiter on a phone, and the same order flows to the kitchen and then to the bill. Ask the vendor to show you a single order travelling from table to bill without anyone typing it twice.

2. Can guests order by QR and waiters order by phone?

You need both. Younger guests and tourists like to scan and order. Families, regulars and older guests often prefer to talk to a waiter. The best setup lets both kinds of orders land in the same kitchen queue, organised by table.

Check that the QR menu opens in the phone browser without an app download, and that it shows photos, categories and veg or non-veg filters. We explain the full flow in our QR code menu guide for Kerala restaurants.

3. How does the kitchen receive orders?

There are two common ways, and many restaurants use both:

  • KOT printing. A Kitchen Order Ticket prints on a thermal printer the moment an order is placed.
  • Kitchen display. Orders show on a tablet or screen in the kitchen, grouped by table, with status buttons.

Ask whether KOTs print automatically or only when someone presses a button, and whether the kitchen can mark orders as Preparing and Ready so waiters know when to collect. Our KOT vs kitchen display guide goes deeper.

4. Is billing fast at the counter?

When a table asks for the bill, the cashier should be able to open that table and print the bill in one or two taps. Ask the vendor to time it in the demo. If the cashier has to search through orders or re-enter items, the counter becomes the bottleneck during the rush.

Also check what your bills need to show. If you are GST registered, confirm with the vendor and your accountant that the printed bill format meets your requirements before you go live.

5. Are the reports useful for an owner?

You should be able to answer these questions from your phone, without calling the manager:

  • What were today's sales and how many orders?
  • Which items sell the most, and which hardly move?
  • How do this week and this month compare?
  • How many tables were active at peak time?

Check whether you can export sales data for your accountant or accounting software.

6. What hardware do you really need?

Some vendors bundle expensive POS terminals. For most Kerala restaurants and cafes, you need much less:

Hardware Needed? Typical cost
Phone or tablet for the kitchen display Recommended Use one you already own
Thermal printer for KOT and bills Optional but common Around ₹6,000 one-time
QR stand for each table Needed for QR ordering Around ₹200 per stand
Waiter phones Use staff phones No extra cost

The costs shown are DinesMenu's current prices, listed as a reference. Ask every vendor for a complete hardware quote before you compare software prices.

7. Is the pricing clear for year two?

Many plans look cheap in year one and then renew at a higher rate, or charge separately for setup, extra tables or extra staff logins. Ask for:

  • First-year price and renewal price, in writing
  • What is included in setup (menu entry, table setup, training)
  • Limits on tables, menu items and staff accounts for each plan
  • Whether taxes are included or extra

For reference, DinesMenu plans run from ₹4,990 to ₹8,990 in the first year and ₹2,990 to ₹6,990 a year on renewal, with setup included. The full comparison is on our pricing page.

8. How long does setup take, and who does it?

A small cafe should be able to go live in a day. A larger restaurant with 200 items might take two or three days. Ask whether the vendor enters your menu for you or hands you a blank system. Menu entry with photos is the most time-consuming part, and having it done for you saves a full day of staff time.

9. Is support available in your language and your hours?

Restaurants in Kerala work late. Ask what happens when the printer stops at 9 pm on a Saturday. Check whether support is available on WhatsApp, whether someone can speak Malayalam with your staff, and whether the vendor has a team in Kerala who can help in person if needed.

10. Who else uses it near you?

Ask for the names of restaurants already using the software in your district, and visit one if you can. Watching a real outlet run service for 15 minutes tells you more than any demo. For example, restaurants in Kaniyambetta, Kambalakkad and Panamaram in Wayanad run their ordering and billing on DinesMenu.

A quick comparison scorecard

Use this table to score each vendor out of 5 on each line during demos:

What to check Vendor A Vendor B Vendor C
QR ordering without an app
Waiter phone ordering
Automatic KOT printing
Kitchen display with status
One-tap billing
Owner reports and export
Hardware cost
Renewal price

Questions owners ask

What is the difference between restaurant billing software and a restaurant POS?

In practice the terms overlap. "Billing software" usually means the counter billing screen. "POS" often includes ordering, kitchen and reports. Ask what is included rather than relying on the label.

Is cloud-based billing software safe?

Cloud software stores your data on remote servers with backups, so a broken laptop does not wipe your sales history. Ask the vendor how data is backed up and how staff access is controlled.

Can I use restaurant billing software for a small tea shop?

Yes. Look for an entry plan with a small table and menu limit. DinesMenu's Starter plan, for example, is built for tea shops, juice shops and small cafes.
